These terms govern use of the CarerBook website, web app and mobile app supplied by [Legal entity name] at [Registered address]. They apply from [Effective date]. If a care organisation has a separate signed agreement with us, that agreement takes priority where it conflicts with these terms.

You agree to these terms when you create an account or use the service. If you use CarerBook for an organisation, you confirm that you are authorised to act for it. If you do not agree, do not use the service.

The service

CarerBook provides tools for care records, visits, planning, team and family communication, AI assistance, reports and administration. The features you can use depend on your role, workspace settings, device, plan and the availability of third-party services. We may change features and will give notice where a material change affects an active paid service.

CarerBook is a coordination tool. It is not an emergency service or a substitute for professional clinical judgement, direct supervision, safeguarding procedures or required recordkeeping.

Accounts and access

Provide accurate account information, keep your login details private and tell us promptly if you suspect unauthorised access. Workspace administrators manage invitations, roles and permissions. You are responsible for activity under your account except where caused by our breach. Staff and family invitations give access only to information made available by the relevant workspace.

We may suspend an account to investigate misuse, protect people or data, comply with law or address unpaid fees, using proportionate steps and notice where practicable.

Care information and responsibilities

The organisation using a workspace is responsible for the care it provides, the accuracy and lawful collection of records it uploads, the people it invites, and the permissions it grants. Do not upload information you are not authorised to use. Follow your organisation’s consent, confidentiality, safeguarding and retention policies.

You retain your rights in content you submit. You give us the limited permission needed to host, process, back up and display that content to provide and support the service. We handle personal information as described in the privacy policy and any applicable data processing agreement.

Using AI responsibly

AI features can summarise, extract and draft from workspace data or recordings. The result may be inaccurate, incomplete or unsuitable for a specific person. Review and correct it before adding it to a care record or relying on it for a decision. Do not use AI output as the sole basis for medication, clinical, emergency or safeguarding decisions.

Only submit information to AI features when your organisation has authority to do so. The applicable workspace settings and plan may limit AI availability or usage.

Acceptable use

Do not use CarerBook to break the law, violate privacy or intellectual property rights, access another person’s account without permission, upload malicious code, interfere with service security, or attempt to extract data outside authorised access. Do not use the service to send spam or abusive content. We may remove harmful content or restrict access where reasonably necessary to protect users or the service.

Plans, payment and cancellation

CarerBook may offer free and paid plans. Before you buy, the checkout and your order will show the price, billing interval, included usage, taxes and any overage terms. Paid checkout and the customer portal use Polar when configured. The example price on this website is a placeholder and does not constitute an offer.

Subscription changes and cancellation are managed through the billing controls available to workspace administrators. The final commercial terms must specify renewal, refunds, cancellation timing and any applicable consumer rights before paid plans are offered publicly.

Availability and changes

We work to keep CarerBook available and secure. Maintenance, connectivity problems or external providers may interrupt it. Keep appropriate care continuity procedures outside the service. We may make changes to protect security, comply with law or improve the product, and will give reasonable notice of material changes where feasible.

Ending use and data

You may stop using your account and a workspace administrator may end a subscription through the available billing controls. Ending access does not automatically erase care records, payment records or information another organisation controls. Requests for access, export or deletion should be made through the workspace administrator or the contact below, subject to law and any separate agreement.

Liability and governing law

Nothing in these terms excludes liability or rights that cannot lawfully be excluded. The final version must state the agreed liability allocation, any applicable limits, dispute process and governing law after review for the markets and customer types served.
